Payment Policy 2022

DEPOSIT:

A 10% non-refundable deposit of the total itinerary cost is required at confirmation of booking. Holiday travel (Departures December 15-January 5) require a 20% non-refundable deposit to begin the booking process. Additional non-refundable hotel deposits may be required per the trip proposal. 

FULL PAYMENT:

Due 60 days prior to departure. Holiday travel (Departures December 15 – January 5) is due by August 15 or earlier per the trip proposal. 

LATE BOOKING:

Any booking request made within 30 days of departure requires a credit card guarantee for full payment of the quoted itinerary at the time of booking. Any booking request made within 14 days of departure requires an additional $100 one-time expediting fee.

CANCELLATION POLICY:

 Canceled itineraries must be submitted in writing and are subject to the following penalties. All payments are non-refundable. 

  • 60+ days prior to departure – 10% of the total itinerary cost 
  • 60-45 days prior to the departure – 50% of the total itinerary cost 
  • 44-0 days prior to departure – 100% of the total itinerary cost 

*No refunds for unused portions 

HOLIDAY CANCELLATION POLICY (December 15- January 5):

Canceled itineraries must be submitted in writing and are subject to the following penalties plus any additional supplier penalties dated from our receipt of the written request. All payments are non-refundable. 

  • 120+ days prior to departure – 20% of the total itinerary cost plus any additional non-refundable hotel deposits paid 
  • 119-0 days prior to departure – 100% of the itinerary price 

*No refunds for unused portions

AIRLINE TICKETS:

All airline tickets once issued are non-refundable. After tickets are issued, change fees from the airline and Costa Rica Experts will apply plus any difference in fare. The rebooking waiver does not cover international flights. 

CHANGES TO CONFIRMED ITINERARY:

Any changes to your booked itinerary may incur a change fee of $100 USD. Additions or upgrades do not incur the change fee. No land itinerary changes will be accepted within 30 days of departure (120 days for holiday travel). 

REBOOKING WAIVER:

For paid in full itineraries a one-time complimentary rebooking is permitted up to 30 days prior to departure. Specific travel dates must be submitted in writing at the time of rebooking and the new travel dates must be completed within one year of the original travel dates. Any difference in itinerary price from the suppliers will apply and must be paid prior to rebooking. Rebooking is subject to availability and acceptance by each supplier (penalties may apply). Any further rebooking would be subject to a $500.00 rebooking fee which will be collected to initiate the rebooking. The rebooking waiver does not apply for holiday travel (Dec 15-Jan 5).

BORDER CLOSURE REBOOKING:

In the event of a border closure, a rebooking option will be offered to reschedule the same itinerary to travel within 1 year of the original travel dates. 

TRAVEL INSURANCE IS HIGHLY RECOMMENDED:

Travel Insurance is not included in your package and is highly recommended to protect your travel investment as cancellation penalties apply without exception. For US travelers we suggest www.travelguard.com. For international travelers purchase travel insurance in your home country. 

PASSPORTS ARE MANDATORY FOR ALL PASSENGERS ENTERING COSTA RICA.

U.S. Passports must be valid at least 6 months or longer beyond the dates of your trip. If you are traveling from outside the US please contact the Costa Rica consulate for entry requirement details. If you will be traveling to Costa Rica from South America and/or sub-Saharan Africa, you will need the Yellow fever vaccine, please inquire for more information.

SCHEDULES AND DELAYS:

All travel times are based on the best information and timetable available at the time the itinerary is confirmed. We cannot accept any responsibility for losses or accidental expenses due to delays or changes in the schedule by airlines, hotel over-bookings or defaults, sickness, strikes, war, riots, insurrections or other similar causes. All such losses or expenses will be the responsibility of the passenger.

RESPONSIBILITY:

Costa Rica Experts, Inc. is not responsible for arranging and providing any act, error, omission, injury, to any person or property, loss, inconvenience, accident, delay, irregularity, upset, disappointment, whether physical or mental, or any event which might be occasioned through of by reason of negligence, defect or default of any company and/or their employees, agents or servants, or facilities engaged in providing any of the services, accommodations or facilities in connection with these programs. Costa Rica Experts, Inc. reserves the right to substitute any hotel, airline, or other service provider for any reason. An equivalent or higher level alternative will be provided. It is expressly understood that Costa Rica Experts, Inc. is not responsible for any delays in the departure of any flight or non-operation of any flight hereunder due to reasons beyond its control. Costa Rica Experts, Inc. shall have no liability whatsoever regarding flight delays, including (but not limited to) liability from damage relating to shortened vacation. The passage contract in use by the companies concerned, when issued, shall constitute the sole contract between the company and the purchaser of these tours and/or passengers.
